How Vorys Transitioned to Flo’s ATS with Historical Data

Elizabeth Greiner, Content Manager at Flo Recruit, sat down with Anna D’Alesandro, Legal Recruiting and Integration Coordinator and Kayla Allen, Senior Manager - Legal Talent Development at Vorys, to discuss their transition from spreadsheets and a custom Access Database to Flo Recruit Applicant Tracking for law student, lateral associate, partner, and patent professional recruitment. With a focus on streamlining processes, saving time, and creating custom models to synthesize hiring data, Vorys has redefined its recruiting operations with Flo – including bringing years of historical candidate data into the new ATS for centralized access.

 

Q: Can you each tell us about your role at Vorys?

Anna: I’ve been at Vorys for four years, and I serve as the Legal Recruiting and Integration Coordinator. My primary focus is supporting lateral attorney hiring, from interviews through onboarding, for candidates with a year or more of experience. Before this recent switch to the lateral side, I managed the hiring for our summer program, including all 1L hiring. I have seen all aspects of our recruiting and hiring process.

Kayla: I’ve been with the firm for 17 years, and I am the Senior Manager of Legal Talent Development. In my current role, I manage our attorney and patent professional training and development programs and collaborate on career development initiatives to enhance legal talent retention, engagement and well-being. Anna and I worked closely to bring Flo Recruit into the firm, and together we’ve seen how much it’s changed the way we operate.

 

Q: What was your recruiting process like before Flo?

Kayla: Before Flo, we didn’t have an ATS. Everything lived in Excel spreadsheets and an Access Database. For a firm of our size, that system just wasn’t sustainable. We knew we needed to do better, so we started exploring vendors, and Flo stood out as the most user-friendly and flexible option. It felt like the right next step, and looking back, it absolutely was.

Anna: From a time management perspective, the challenges became particularly evident during the OCI season. We were juggling data from a dozen OCI programs and over 40 resume collects, all while trying to manage it in spreadsheets. It just wasn’t feasible. Since adopting Flo, everything has been streamlined, from applications flowing in through schools and direct applications, to candidate reviews, to the packets we prepare for our attorneys.

 

Q: How has Flo Recruit Applicant Tracking changed your day-to-day work?

Kayla: The data has been a game-changer. Before Flo, we were compiling numbers from so many different places and hoping they were right. With Flo, the reporting capabilities are astounding. The visuals give our partners exactly what they’ve been asking for, and we can export real-time data to share instantly. We’ve even been able to grant access to hiring committee members so they can view candidate information directly in the system, which saves us time as well.

Anna: For me, the Candidate Review feature has been huge. It makes it so easy to organize feedback and keep everything in one place. The efficiencies we’ve gained are undeniable.

Kayla: The time savings and efficiency are just huge. It used to take two people to keep this all going, and now one person can handle it, because of Flo.  We’ve significantly reduced the administrative burdens of the recruitment process utilizing this platform, and as a result, we’ve been able to shift our focus to more strategic initiatives, which has allowed us to bring more value to our talent operations.



 

Q: How did the historical data transfer process go?

Anna: It was so much easier than we expected. Flo provided a simple spreadsheet template that matched exactly what we needed. I filled it in, sent it to the Flo support team, and they uploaded it the same day. It couldn’t have been smoother.

Kayla: We thought transferring thousands of records would be overwhelming, but Flo made us so comfortable and came up with a simple plan. They explained exactly how we needed to provide the data and assured us that we could make it all work. We did face one challenge — we hadn’t consistently stored candidate emails — but Flo came up with a creative workaround. The solution made it seamless, and now everything, including historical data, is so easy to access.

 


 

Q: How do you use historical data today?

Anna: It’s incredibly simple. If I need to look up a historical candidate record, I can easily pull it up in our database and keep everything connected to our current tracking. There’s no more digging through spreadsheets or trying to locate old information.

Kayla: It’s all consolidated in one place now, which has streamlined our process tremendously. The ability to reference historical information, while also keeping our current system easily updated is so simple. 

 

Q: What was your experience with Flo’s support team?

Anna: I can’t say enough good things about everyone I’ve interacted with at Flo! Whether through the chat or email, they’re always quick to respond and incredibly helpful. During our onboarding, I always felt like they met us where we were and made everything work for what we needed, and at our pace. It was all so intuitive, and we were supported every step of the way.

Kayla: We’ve had such a positive experience. If we ever have a question or request, the team is always receptive. They collaborate with us, take feedback seriously, and continue to evolve the product in smart ways. That responsiveness has been invaluable.

 

Q: Looking back, what advice would you give to another firm considering Flo or with any concerns about the data transfer?

Anna: It feels like a bigger project than it actually is. Flo helps you break the process into manageable steps and always finds solutions to any challenge.

Kayla: The upfront investment of time and planning is absolutely worth it. Once you see everything in one place, you’ll wonder how you ever managed before. For us, there’s no going back to spreadsheets.

Q: You also recently launched your Flo Forward profile. What impact has that had?

Anna: The impact was immediate. As soon as our profile went live, I noticed students applying to our 2026 summer associate program and listing Flo Forward as their source. It was great validation that students are actively using the platform to research firms.

Kayla: We’re really excited to see how much Flo Forward continues to influence our recruiting. It’s been a strong start, and we’re eager to build on that momentum.
